Role Overview

The Senior Executive Assistant plays a key role in supporting executives or teams by handling administrative duties, coordinating schedules, managing correspondence, organizing meetings, arranging travel, and overseeing various office functions.

Key Responsibilities

  • Provide direct administrative support to a senior-level executive (C16) and assist the wider department.
  • Oversee daily scheduling for senior management, including appointments, meetings, and conference calls.
  • Organize executive-level meetings, conferences, receptions, and travel arrangements.
  • Prepare and review documents, presentations, spreadsheets, and other business materials.
  • Manage travel logistics, including itinerary planning and agenda distribution.
  • Handle expense tracking and reconciliation using the Travel and Entertainment Expense system.
  • Order office supplies and process invoices via the Procure to Pay system.
  • Process and monitor virtual requests.
  • Assist with ad-hoc reporting and special projects as needed.
  • Offer guidance, training, and support to other administrative staff when required.
  • Ensure compliance with company policies, industry regulations, and ethical standards while making business decisions and managing risks.

Qualifications & Requirements

  • Bachelor’s degree or equivalent experience.
  • Previous experience in office administration, preferably within a large financial institution or similar corporate environment.
  • Strong proficiency in Microsoft Office applications.
  • Excellent written and verbal communication skills.
  • Ability to quickly adapt to new systems and technologies.
  • Self-motivated with strong attention to detail.
